How to add another user to your account

If more than one person looks after your services — a colleague who handles invoices, a developer who needs access to your hosting, an accountant who only needs billing — you can give each of them their own login instead of sharing yours.

Each person gets their own email address and password, and you decide exactly what they can see and do. You can change or revoke that access at any time.

Before you start

  • Only the account owner can add or remove users. If you are not the owner, ask them to invite you.
  • You will need the person's email address.
  • They do not need an existing FacioTech account. If they do not have one, they will be prompted to create a password when they accept.
Users are not the same as Contacts. A Contact only receives copies of emails, such as invoices or renewal notices — it cannot log in. A User is a person with their own login who can sign in and act on your account. If you want someone to be able to log in, add them as a User, which is what this guide covers.

Step 1 — Open User Management

Sign in to your account, then go to Account → User Management.

You will see everyone who currently has access to your account, when they last signed in, and whether they have two‑factor authentication switched on.

Step 2 — Send the invitation

In the Invite New User box, enter the person's email address, then choose how much access they should have:

  • All Permissions — they can do everything on the account except remove the owner. Best for a business partner or co‑director.
  • Choose Permissions — tick only what they need. Best for everyone else.

The permissions you can grant are:

Grant only what the person actually needs. You can widen their access later in a couple of clicks, and narrowing it later is harder to remember to do.

When you are happy, click Send Invite.

Step 3 — Wait for them to accept

The invitation is emailed to the address you entered and the person appears under Pending Invites until they accept it.

While it is pending you can:

  • Resend Invite — if the email did not arrive. Ask them to check their spam folder first.
  • Cancel Invite — if you sent it to the wrong address or changed your mind.

Once they accept, they move up into the main users list and can sign in with their own email address and password.

Changing what someone can do

Click Manage Permissions next to their name, tick or untick what you need, then click Save Changes. The change applies immediately.

You will notice this button is greyed out for the account owner. That is deliberate — the owner always has full permissions and they cannot be reduced. If you need to hand the account to someone else, contact our support team.

Removing someone's access

Click Remove Access next to their name. They immediately lose the ability to sign in to your account.

Removing access does not delete the person's FacioTech login — it only unlinks them from your account. Any services, invoices and tickets stay exactly where they are, on your account.

Remember to remove access when someone leaves your organisation or finishes a piece of work. It is the single most useful thing you can do to keep the account secure.

Good practice

  • One login per person. Never share a password. If several people use one login you cannot tell who did what, and you have to change the password every time someone leaves.
  • Grant the least access that works. Someone who only needs to pay invoices does not need to be able to cancel your hosting.
  • Encourage two‑factor authentication. The users list shows who has it enabled, so you can see at a glance who does not.
  • Review the list occasionally. The Last Login column makes it easy to spot accounts nobody is using any more.
